A campaign uses the content of a ManualWorks chapter as the body of an email and sends it to specified recipients at a scheduled time. Only administrators can use this feature.
The recipients are called the audience. You can add users and newsletter subscribers at once by condition, or add newsletter subscribers one at a time.
You can use this feature only when you have configured a mail server for sending email.
Creating a Campaign
In the <Tool | Campaign> menu, create a campaign and enter the following items.
Name: The name that identifies the campaign.
Subject: The subject of the email to send. If you leave it empty, the title of the selected chapter is used.
Chapter: The chapter to use as the email body. The selected chapter is converted to email HTML to create the body.
Template: A Web Pages template that wraps the body. Select one only when you need it.
Date, Time: The scheduled date and time to send the email. The default time is 8:00 a.m.
Status: The default is DRAFT. To send the email at the scheduled time, change it to PENDING.
Batch Size: The maximum number of recipients to send to at once. The default is 20. Use it to send in batches instead of sending to all recipients at once.
You can put substitution parameters such as ${userName} in the subject and body. ${userName} is replaced with the recipient's name when the email is sent. You can also add parameters for the campaign with the <Set Parameter> link on the campaign details screen.
Adding an Audience
In the Audience area of the campaign details screen, click the <Add> link to add recipients. There are two ways to add them.
Bulk add: Select either ALL_USERS (all users) or NEWSLETTER_SUBSCRIBERS (newsletter subscribers) to add all matching recipients at once. The recipients already added and their delivery status are deleted and rebuilt.
Individual add: Search by email to add newsletter subscribers one at a time.
Before a bulk add, you can preview the number of Candidates/Addable/Duplicate Emails/Excluded/Existing Audience.
Users without an email address and deactivated users are excluded, and each email address is added only once. Newsletter subscribers and users who have unsubscribed are not included.
You manage newsletter subscribers on a separate screen, and you can register them at once with an Excel or CSV file.
Previews and Test Emails
Check the result before sending.
Preview: Shows the subject and body exactly as they will be sent.
Send Test Mail: Sends a test email to the email address you specify.
[TEST]is added to the beginning of the subject.
Sending and Status
At the scheduled time, the scheduler sends the email automatically. It sends in batches of the batch size and continues sending to the remaining recipients at regular intervals. Emails are sent in the order in which recipients were added to the audience, and right before sending, ManualWorks checks whether each recipient has unsubscribed or has been deleted or deactivated. Recipients who cannot receive the email are skipped, and their audience status is set to SKIPPED. Check the number of skipped recipients in the “Skipped” column of the campaign list.
Campaign statuses are as follows.

PARTIAL_FAIL | Could not be sent to some recipients. |
FAIL | Sending failed. A notification is sent to the user who created the campaign. |
Only campaigns whose status is PENDING and whose scheduled time has passed are sent.
Retrying Failed Recipients
If some recipients could not receive the email, you can retry with the <Retry Failed Audience> link. The failed recipients return to the waiting state, the campaign changes to PENDING, and the email is sent again in the next sending cycle.
Templates and Unsubscribing
A template is a Web Pages page that wraps the email body. When you select a template for a campaign, the body is inserted at the ${template} position of the template to create the final email. Put content common to all emails in the template, such as the header, footer, and unsubscribe link.
Put the unsubscribe link in the template. Add a link that includes the ${audienceId} parameter as follows.

${audienceId} is replaced with a value for each recipient when the email is sent. When a recipient clicks this link to unsubscribe, the subscription status of that recipient changes, and the recipient is excluded from later campaigns. Recipients can unsubscribe or subscribe again with this link not only when the audience is newsletter subscribers but also when it is users.
Newsletter Subscribers
Newsletter subscribers are one type of campaign recipient. You manage them in the <Tool | Newsletter Subscriber> menu. Subscribers are managed by email, name, and subscription status. When you add an audience and select newsletter subscribers, subscribers who are currently subscribed are included.
You manage newsletter subscribers on a separate screen. In the list, you can search by email or name and filter by status.
Subscription statuses are as follows.

Adding Subscribers
Add subscribers in the following ways.
Import from a file: Click the <Import> link to add multiple subscribers at once from an Excel (xlsx) or CSV file.
Subscription form: Visitors subscribe directly with the subscription form in the web viewer.
When you import from a file, follow this format.
If the first row has
emailandnameheaders, those columns are used as the email and name. The column order does not matter, and you can omitname.If there are no headers, the first column is used as the email and the second column as the name.
Rows that are not in email format are skipped automatically.
Subscribers who have unsubscribed stay unsubscribed even if you import them again; only their names are updated. The import result leaves these subscribers out of the imported count and shows how many of them were skipped separately.
If you select “Use newsletter subscription.” in the document options or general settings, a subscription form appears in the web viewer. Submitted email addresses are added to the subscriber list automatically.
Deleting Subscribers
You can delete subscribers from the list. Deleting is different from unsubscribing. Unsubscribing only changes the status and keeps the record, but deleting removes the subscriber from the list completely.
Deleting a subscriber does not delete the sending history of campaigns that were already sent.
